Property Insurance Claims Procedure
Parishes are to call Catholic Mutual Group to report all claims. The toll-free
number is 1-800-228-6108. Catholic Mutual Group is open Monday through Thursday from
6:30 a.m. to 3:30 p.m. and Friday from 6:30 am to 10:30 a.m. Mountain Time.
Catholic Mutual Group will forward a Loss Acknowledgement of the claim with the
claim number to the parish with copies to the Catholic Pastoral Center and Steel
City Agency. Please refer to the claim number on any correspondence.
Small Property Damage Claims: Catholic Mutual Group
requires cost estimates
from the parish. The following is an example of small property damage claim:
thefts, vandalism, glass breakage, etc.
The parish forwards copies of cost estimates such as invoices,
advertisement, etc. directly to Catholic Mutual Claims Department, Attn:
Betty Hilderbrand, 10843 Old Mill Road, Suite 300, Omaha, NE 68154-2600. Parish
keeps originals on file.
Catholic Mutual Group reviews the estimates and prepares claim settlement.
Large Property Damage Claims: Catholic Mutual
Group requires an
inspection of the property damage by an appraiser assigned by Catholic Mutual
Group.
This appraiser will contact the parish. The following is an example of large
property damage claim: wind, hale, fire, boilers, etc.
The appraiser will provide forms to be filled out and returned, along
with copies of invoices or estimates, to complete his appraisal. The
appraiser forwards his appraisal of large property damage to Catholic
Mutual Group.
The parish will obtain three bids for work to be done. The appraiser
will furnish bid forms for contractors. Parish may select which bid they
wish to use, but will be responsible for payment above the claim
settlement.
Catholic Mutual Group reviews the appraiser’s appraisal and prepares the
claim settlement.
Prior to starting repairs and/or replacing large property damage claims,
parishes are to contact SCA Insurance to verify insurance coverage required by
vendors, contractors, etc. Please see attached samples of what a contractor must
submit as proof of insurance. Parish will keep copies on file.
Volunteers may be used and covered under the Diocese of Pueblo
accident insurance policy, but parish must obtain building permits, and
have work inspected and approved by the Building Inspector. Parish will
send a copy of the approval to SCA Insurance before payment will be
made.
An additional fee will be charged for accident insurance coverage of
the volunteers.
Catholic Mutual Group will forward their Settlement Letter, with check, which will
be held by the Diocese in the Catholic Mutual Trust fund, if applicable, and
estimate directly to the Catholic Pastoral Center. This settlement letter states
the total dollar value of the claim paid, an amount that will be paid once
repairs and/or replacements are made, and the deductible. A copy will be
forwarded to the parish and to SCA Insurance.
The Parish is to forward all invoices for replacement or repairs on large and
small claims directly to SCA Insurance, Attn: Diocese Claims Department, P.O.
Box 4316, Pueblo, CO 81003-0316. The parish keeps a copy of all invoices on
file.
SCA Reviews all invoices on claims, compares to the estimate, and notifies
the Catholic Pastoral Center to pay the parish from the trust fund. SCA will
forward a copy of this notification to the parish.
If the large or small property damage claim is not replaced or
repaired, the Catholic Pastoral Center will not forward payment.
Checks will be issued payable to the parish for reimbursement of paid
bills.
For partial payment of large claims, the check will be issued to the parish and
the vendor if
the bills are unpaid.
The Catholic Pastoral Center issues checks to the parish and/or
vendor on the 6th and 21st of each month. SCA must
have all your invoices by the 1st and 15th of each
month.
Any funds remaining unused will be transferred to the Self-Insurance
Reserve Fund to be shared by all parishes through either premium
reductions or as a return to the parishes.
